One workflow, before and after

A case from my work: on a website with several enquiry forms, every enquiry was meant to carry its source into the CRM. I rebuilt the forms and then checked whether the source actually arrives.

Who the build is for

A fit

  • A workflow that runs the same way every week and costs hours of manual work today.
  • Your systems offer access or an API, such as Microsoft 365, Google Workspace, a CRM or an accounting package.
  • You want to own the code and access yourself, even if I keep looking after the workflow.

  • It is still open which workflow comes first. Then the assessment is the better start.

Common questions about AI automation

What does an AI automation cost?

One workflow costs from CHF 4,900, internal tools and apps from CHF 12,000. The exact price is in the quote after the first call. Care afterwards is optional and costs 15 percent of the build price per year, at least CHF 190 per month.

Which workflows are a good fit?

The biggest wins are tasks that happen often, follow fixed rules and are copied by hand between two systems today: moving enquiries into the CRM along with where they came from, turning product data into documents and pages, matching receipts to card transactions, or compiling the weekly report. Email belongs here too when the rules are right: an agent files a mail only once the work behind it is verifiably done, leaves every open mail in place with a reason, logs every move so it can be undone, and holds back a reply when a newer mail has arrived in the thread. Where a fixed rule is enough, I write a script instead of using AI. It is exact and costs next to nothing to run.

Why does the build only take weeks?

I build with AI agents that I steer and whose work I review, with fixed guard rules and a second review before anything is accepted. Most of the project time goes to access and your feedback, not to the build itself.

Do we need new software for this?

Usually not. I build on the systems you already have. If a service is added, such as an AI model, the account is in your company's name.

What happens to our data?

It stays in your systems, and I only work with what you release. Before the build, it is agreed in writing which data goes to which AI provider. Where the workflow allows it, I replace names and contact details with placeholders.

What if the AI reads something wrong?

Wherever something leaves the company or moves money, I build in an approval by a person. The system flags uncertain cases instead of guessing. The feedback rounds exist to find and fix exactly those cases.

What if we no longer need you later?

Then the workflow keeps running. The code, data and access are yours, and the runbook and screen recording explain how to operate it. Another specialist can take over.

Do we need an assessment first?

No. If you already know which workflow it should be, I start on it directly. Otherwise the CHF 1,900 assessment is the shorter route, and the amount paid is credited in full to a build within 60 days.
